Galloway Cattle Society
Members– Code of Conduct
Upon payment of the prescribed membership fee, all members of the Galloway Cattle Society — including their families, employees, and agents — are deemed to have accepted and agreed to abide by this Code of Conduct. Members are responsible for ensuring that their representatives adhere to the standards set out herein and will be held accountable for any breaches committed by them.
Purpose
This Code of Conduct exists to promote a culture of integrity, respect, and professionalism within the Galloway Cattle Society. It sets out clear expectations for behaviour at all times when engaging in Society-related activities.
Responsibilities
- Compliance with Society Rules
Members must act in accordance with the Constitution, bye-laws, and all policies and procedures of the Galloway Cattle Society. These are available from the Secretary, and selected documents may also be accessed via the Society’s website. Lack of receipt does not exempt members from compliance. - Respect and Conduct
Members must treat all individuals encountered through Society events and communications with respect. This includes recognising and valuing diversity, maintaining appropriate boundaries, and refraining from offensive behaviour. Discrimination, harassment, or conduct deemed rude, inappropriate, or offensive — including profane language or gestures — will not be tolerated. - Social Media Etiquette
When using social media in relation to the Galloway Cattle Society, its officials, members, or staff, members are expected to communicate in a respectful and professional manner. Negative concerns or issues should be addressed via the appropriate internal complaints procedure, which is available online, rather than through public commentary. - Interactions with Staff
Members must not reprimand staff directly, nor should they seek to influence staff decisions or actions regarding instructions received from Trustees. - Representation and Integrity
Members should avoid not only improper conduct but also any behaviour that could harm the reputation of the Society. Members representing the Society are expected to uphold its values and avoid activities that may conflict with the Society’s objectives or image. - Membership Obligations
Membership fees must be paid promptly to ensure continuous membership. Members are also responsible for keeping their contact and personal details up to date.
Reporting a Breach
Any concern about a potential breach should be reported in writing to the Secretary. Reports must include:
- Name(s) of the individual(s) involved.
- Description of the incident or behaviour.
- Any supporting evidence.
- Date and location of the incident, if applicable.
Investigation Process
Upon receipt of a complaint:
a. The Secretary will acknowledge the complaint within 14 days and refer it to the Board of Trustees.
b. The Board will appoint a subcommittee to review the matter.
c. The member concerned will be notified and given an opportunity to respond.
d. The subcommittee may conduct interviews and gather further evidence if necessary.
Disciplinary Actions
If a breach is confirmed, the Board may impose one or more of the following actions:
- Verbal or written warning.
- Suspension of membership for a defined period.
- Termination of membership in serious cases.
- Other actions as deemed appropriate.
Appeals
Members have the right to appeal any decision. Appeals must be submitted in writing to the Chairman of the Board within 21 days of the decision. The appeal will be reviewed by a separate panel not involved in the original investigation.
Confidentiality
All reports, investigations, and outcomes will be handled confidentially and in accordance with data protection laws.
Review
This policy will be reviewed annually by the Board of Trustees and updated as required.
